Other services offered through Admissions
& Records (A&R)
In addition to admitting students
into Hawai'i Community College, the Admissions and Records Office performs
a variety of other functions. Please stop by A&R if you need assistance
with the following:
Auditors: Auditors must fulfill all requirements
for regular admission. Persons wishing to audit a course may apply by completing
and submitting the auditor's form no earlier than the first day of instruction.

Adding/Dropping Courses: Add and drop forms are
available in A&R or the CSSC office. For specific information on adding
and dropping classes, contact the your academic advisor (program instructor)
or a Counselor at (808) 974-7741.

Change of Home Campus: HawCC students who wish
to change their home site from Hilo to West Hawai'i or West Hawai'i to Hilo
must submit in writing a brief letter indicating their intent to A&R.
Complete Withdrawal: Any student who intends to
completely withdrawal from all classes must submit a complete withdrawal
form. Complete withdrawals can occur up until the last day of instruction,
however, there may be consequences to withdrawing. If you plan to completely
withdraw, or withdraw from one course, contact a Counselor for further information
on possible effects of withdrawing.

Change of Address/Phone Number/Social Security Number/Name:
Making any changes?? Please submit your changes using the Change of Address/Phone
Number/Social Security Number form.

Change of Major: To officially change your major,
a change of major form needs to be submitted to A&R. To determine what may
happen by changing your major, contact the Counseling Office. Also, if you
are receiving Federal Financial Aid, you will also need to notify them as
well.

Concurrent Registration: Concurrent registration
occurs if you are taking classes at both HawCC and UH-Hilo. There are certain
requirements when taking classes concurrently, so be sure to check with
A&R, the Counseling & Support Services Office (CSSC) or the General Catalog
before registering for classes at UH-Hilo.

Course Waiver / Substitution Form: Students may
use this form to request that a required course be replaced by another course
currently or already taken. This substitution must be approved by the student's
program advisor, the Division Chair of the class in question as well as
the Dean of Instruction. For further information regarding your eligibility
to request a course waiver substitution, please see your program advisor
or a Counselor.

Form
Credit/No Credit: Students may take a maximum of
two courses per semester on a "credit/no credit" basis provided that they
are not on academic probation. A maximum of 12 credits from courses taken
with the CR/NC option can be applied toward satisfying the requirement for
graduation. Students majoring in a vocation/technical program may not take
a major required course for CR/NC. Liberal Arts majors may use CR/NC option
to satisfy area and elective requirements.
To qualify for credit, the work of the student must be at least at the "C"
grade level. The CR/NC option must be exercised by the date designated for
this purpose in the HawCC academic calendar.

Distance Education: Any student interested in registering
for a course on-line (within the UH System) can access application materials
and gain further information through the UH System website. www.hawaii.edu/dl
Graduation: Any student who believes that he/she
will be graduating needs to complete an Application for Graduation by October
31 (fall semester) or April 1 (spring semester). There is a one time $15
fee to process a graduation check. Once the application is submitted and
the fee is paid, a student's record is reviewed to ensure that all program
requirements are met. If there is any question to the student's eligibility
to graduate, a request is sent to the respective Division Chair to review
the candidate's file. If there is no problem with the graduation requirements,
the student would most likely not hear from Admissions & Records. In this
case, no news is good news.

Regular Registration/Late Registration: Continuing
students (those attending school) register through A&R. The dates for registration
are listed in the schedule of classes or current catalog. Registration generally
occurs a few months prior to the end of each semester.
Transcript requests: Any student needing a transcript
can fill out a request form from Admissions & Records. There is no charge
for any transcript sent directly to the Admissions or Records office within
the UH system. However, there is a $3.00 charge for transcripts sent anywhere
else. When filling out the request for a transcript, please be sure to include
the mailing address of where the transcript should be sent, dates of attendance,
social security number and signature. It takes approximately 5-7 working
days for transcripts to be mailed, so please submit your request in advance.
If you need your transcripts to go out within 24 hours, there is a $10.00
rush fee.

Veterans Benefits: Veterans who are registered
for the first time under the GI Bill must present a certified copy of Form
DD 214 (formal discharge papers) and Form 22-1990 (application for educational
benefits) to A&R. Dependents of disabled veterans and survivors of veterans
whose cause of death was service-related, who register for the first time
under any provision of the Federal Veterans' Bill, must complete and present
VA form 22-5490 to A&R. Chapter 31 Disabled Veterans should contact the
Ha'awi Kokua Program at (808) 974-7741.
