Purpose:
The purpose of this policy is to define the College’s expectations regarding satisfactory academic progress for students. Further, it establishes procedures to administer the policy.
Policy:
Satisfactory academic progress is defined by the College as maintaining a cumulative GPA of at least 2.0. Coursework taken at other institutions, including other UH System campuses, do not affect a student’s Hawai‘i CC GPA and will not be considered for the purposes of Hawai‘i CC academic progress. (Note: Financial aid programs define satisfactory academic progress differently. Consult the Financial Aid Office, if necessary.) In this policy, the word “semester” shall include the fall, spring, and/or summer grading periods.
- Academic Warning. A student whose cumulative GPA is less than 2.0, at the end of a semester will be placed on academic warning. Notation of warning is made on the student’s permanent academic record. Warned students will be notified and encouraged to seek academic counseling. Students on academic warning must raise their cumulative GPA to 2.0 or higher. Failure to do so will result in academic probation.
- Academic Probation. A student whose cumulative GPA is less than 2.0 following a semester on academic warning will be placed on academic probation. Notation of probation is made on the student’s permanent academic record. Students on academic probation will be encouraged to seek academic counseling. Students whose semester GPA is 2.0 or higher, but their cumulative GPA is below 2.0, will remain on academic probation. Students will be removed from academic probation once the semester and cumulative GPA is raised to 2.0 or higher. Failure to do so will result in academic suspension.
- Academic Suspension. A student whose semester and cumulative GPA is less than 2.0 at the end of a semester on academic probation will be suspended from the College for one (1) semester. Notation of academic suspension is made on the student’s permanent academic record and the student will be notified. If the student has pre-registered for an upcoming semester, the student will be disenrolled from their Hawai‘i CC classes and will receive a 100% refund of tuition and fees.
- Readmission After Suspension. A student who has been suspended from the College may appeal the academic suspension in writing to the Vice Chancellor for Student Affairs within ten (10) working days of receiving the notification of academic suspension, (except after the summer semester). A student who did not appeal or whose appeal was not granted, may apply for readmission one (1) semester after the date of academic suspension.
A student returning after suspension will be placed on “probation” status during the semester of re-entry. A student whose semester GPA is at 2.0 or higher, but cumulative GPA is less than 2.0 at the end of the semester of re-entry after suspension will continue to be on “probation” status. Failure to earn a semester GPA of 2.0 or higher during the semester of probation after suspension will result in academic dismissal. - Academic Dismissal. A student whose semester and cumulative GPA is less than 2.0 at the end of the semester of re-entry after suspension will be dismissed from the College for one (1) year. Notation of academic dismissal is made on the student’s permanent academic record and the student will be notified. If the student has pre-registered for an upcoming semester, the student will automatically be dropped from their classes and will receive a 100% refund of tuition and fees.
- Readmission After Dismissal. A student who has been dismissed from the College may appeal the academic dismissal in writing to the Vice Chancellor for Student Affairs within ten (10) working days of receiving the notification of academic dismissal (except after the summer semester). A student who did not appeal or whose appeal was not granted, may apply for readmission one (1) year after the date of academic dismissal.
A student returning after dismissal will be placed on “probation” status during the semester of re-entry. A student whose semester GPA is at 2.0 or higher, but cumulative GPA is less than 2.0 at the end of the semester of re-entry after dismissal will continue to be on “probation” status. Failure to earn a semester GPA of 2.0 or higher during the semester of probation after dismissal will once again result in academic dismissal. - Notification to Students. The Vice Chancellor for Student Affairs will inform, in writing, any student who is not making satisfactory academic progress as soon as practicable after semester grades have been reviewed and the appropriate action has been taken.
- Other Provisions. Upon finding that a student is experiencing physical or mental conditions detrimental to the student and/or Hawai‘i CC, the Vice Chancellor for Student Affairs will, on professional advice, recommend proper action to the Vice Chancellor for Academic Affairs and/or the Chancellor. The Vice Chancellor for Academic Affairs and/or the Chancellor may then request that the student be withdrawn officially, without prejudice or academic penalty.
